WhatsApp Prescription-Ready Notifications for Pharmacies

A pharmacy counter on a Monday morning is a queue of people asking the same question: "is my prescription ready?" Most of that traffic can be replaced by a single WhatsApp message sent the moment a prescription is prepared — no app to install, no portal login, just a reply in the thread the patient already uses every day.

This is one of the simplest automations to build, and one of the most sensitive to get right. Here's a practical setup.

The three messages that matter

1. Prescription ready. As soon as a prescription is prepared and shelved, a short message ("Your prescription is ready for pickup at [pharmacy name], open until 18:30") removes the need for a phone call or a wasted trip. Keep the content generic — name the pharmacy and the pickup window, not the medication. Sensitive medical details don't belong in a chat message; more on that below.

2. Refill reminder. For chronic medication, a message a few days before a repeat prescription runs out reduces gaps in treatment and lets the pharmacy plan stock. This works best triggered from your dispensing software's refill date, not a fixed calendar — a message that arrives after the patient already ran out is worse than no message at all.

3. Delayed-order notice. If a special order or compounded medication is delayed, a proactive heads-up beats a patient finding out at the counter. One message, sent once, is enough — resist the urge to follow up daily.

Keep the content generic — this is a GDPR special-category-data issue

Health data is a special category under GDPR, and a WhatsApp message thread is not an encrypted patient record system. The safest pattern is to keep every message content-free about the actual condition or medication: "your order is ready," "your prescription needs renewal," never the drug name, dosage, or diagnosis. Patients can always call or come to the counter for details. This isn't legal advice — for anything beyond this generic pattern (attaching a scanned prescription, naming a medication), talk to your DPO or legal counsel before building the flow. Consent matters here more than in most sectors: get explicit opt-in at the counter or on the intake form ("may we notify you by WhatsApp when your prescription is ready?") rather than assuming it. A patient who never agreed to WhatsApp contact is also a patient who's more likely to report the number as spam — which hurts deliverability for everyone else on the same number.

Wiring it up

Most pharmacy dispensing software can export or trigger on an event — "prescription status changed to ready," "refill due in N days." Two ways to connect that to WhatsApp:

  • No-code: if your dispensing system supports webhooks or scheduled exports, an n8n or Make flow can poll or listen for status changes and call the TextMeFlow API directly — see our integrations guide for n8n, Make and Zapier setups.
  • Code: a small script (PHP, Python or Node) that runs off your dispensing database and posts to the TextMeFlow API when a status flips. The API documentation covers the request format; it's a single POST per message.

Replies from patients ("thanks," "can someone else pick it up?") arrive via an HMAC-signed webhook, so you can verify they genuinely came from TextMeFlow before acting on them in your own system.

Staying off the ban radar

Pharmacies send the same message shape to many recipients, which is exactly the pattern anti-spam systems watch for. TextMeFlow's pipeline handles this automatically: sends are rate-limited per number, identical text sent to more than five recipients within ten minutes raises the account's risk score, and messages sent between 22:00 and 08:00 in the recipient's local time are held until morning rather than dropped or sent at an inconvenient hour. None of this requires configuration — it's on by default so a pharmacy sending fifty ready-notices in an afternoon doesn't put its number at risk.
